George Sky's question :
I am looking for a way to merge our new flex schedule with mas atendance tracking. The new schedule is set up that curriculum classes are on Mon-Tues. Theme classes (BBC-MC) are on Wed Thurs. Specialty classes Friday Sat.
How can I utilize attendance smart to be synchronized with this type of schedule. I always seen to have all of the active students not in a particular class show up as not attended.
Is there a way to input each students available classes individually?

Answer:
User has to setup his "Classes" in MAS, and set the appropriate times for each class. Once this is done all the user has to do is run attendance smart, and if the class is going on at that time, then when the student comes in and scans in then it will place them into the correct class depending on what class is assigned to that student under their detail tab.

User can also do it by rank or by age, which is setup in Company setup as well. If the user selects the "By Rank" option what will happen is when the student scans in it will check their current rank and place them into the class that is currently going on which is in their rank range. By Age is similar except it will check the Students age rather than rank.

To elaborate on what Josh is saying:

- Start by going into the "detail" tab for the student, here you will see 10 class fields where you can choose classes you EXPECT them to be at (meaning you would like them to show up as absent in the report if they are not there.
- If you don't want them to show up as absent for a particular class when they don't attend it, simply do not select that class.
- Then once this has been updated (if you wish, call us and we can show you how to do a group edit so you can speed up the process greatly) you can work attendance smart 2 ways:

1) if you do not have someone at the front often enough, use the parameters above as Josh has suggested, and the system will use logic + your class schedule to automatically put students in the right classs.
2) if you DO have someone at the front during the busy times, then check the box on the attendance smart window labeled "Select a class", when you do this, the front desk person can actually pick the appropriate class for students as they come in. The good part is that the drop down menu to pick classes from will only show the classes still available for that day only, making it a short list of 3-10 classes - it's very intuitive.

LASTLY: if you are in a student's Detail tab and you cannot pick the class you would like them to be a part of in one of the class fields, that would be because it is not yet entered in the Company setup.

To make sure all your classes are setup, go to the file menu and choose "company setup", when the window pops up, just click on the "classes" tab, and in there you add/edit/delete classes until it reflects your new schedule.

Once you are setup, we can do some really great things with the automated student ratings, we miss you campaigns, and renewal/upgrade/referral strategies built into the system.

Keep us in the loop as to how you are doing with these instructions and don't forget you can always put your account manager to work to assist you!
