Communication Tips - Compliments of the Shuman Concepts Resource Library

Informing my clientele about upcoming events and activities is a very important area of my job description. In the martial arts business there are seven ways to communicate with students and parents, and I use all of them. If you are feeling like your school’s communication skills could improve, then the tips below might make a big difference.

Here’s a list of ways that I communicate with my students and parents:

1.       Newsletter- I use the back of the Martial Arts Messenger to post the month’s events. I also add inserts such as: 90-day calendar, invitations to upcoming events, and referral tools such as Valentine’s cards, fun week tickets, and referral discount cards.

2.       Email- I work with my PR director on a monthly email that includes: 90-day calendar, school specials, and event highlights. This is sent out to our email list which includes all of our students (active and inactive), friends, families, leads, and business affiliates.

3.       Website- Our Website is updated monthly with the latest events and activities.

4.       Bulletin board- This is one of my favorite tools to communicate events. Each week I highlight an upcoming event. The dry-erase board is near the front counter, and every parent looks at the board each day.

5.       Flyers/ posters - I hang flyers and posters all over the school with a highlight of the next big upcoming event. This month I have a dozen posters that I had my graphic designer create for our 2-year birthday party. I use photos from last year’s events along with great shots of our students. We use the same flyers and posters to hang at local businesses.

6.       Networking- I make it a priority to speak with the parents during down time from the front desk. If no one is at the front counter, then I sit with the parents and strike up friendly conversations. This great opportunity for me to build rapport and get to know my customers better.

7.        Announcements- I remind the instructors about special announcements that need to be made at the end of every class. Sometimes I make a list and hang it on the mirror so that the instructors can simply read all of the announcements.

Communication is very important in a martial arts school. If you utilize the seven suggestions from above, then you will maintain a great level of communication and customer service amongst your students and families. Remember, your schools success depends greatly on the amount of effort you put into the details. Details such as the tips provided in this report will help you reach your success goals.

Your suggestions are valid and good. Everything you mention regarding communication is right on. I too believe that communication with students and parents are paramount in a martial arts school. I must admit however, that some of the avenues suggested here I have yet to tread. I shall employ those that I have not thud far.

Thank you.
